It is completely up to you! We offer a full records management service and can collect your archives at your office, storage, or any commercial location, or you can choose to drop them off at our facility in Prenton (Wirral).
We're here to help and have tools readily available to index files or other data. You can choose from optional levels of information capture depending on the typical needs of retrieval.
Yes. We supply heavy duty triple-walled archive boxes at very competitive rates. These are cheaper than office supply boxes and designed to withstand the rigours of storage.
We will accept your own boxes as long as they are not damaged and are fit for purpose. In line with health and safety recommendations; the maximum weight of an archive box should be no more than 15kg.
Simply fax, email or call us with your request and we'll do the rest. If required; files can be made available for collection by you from our Prenton (Wirral) facility.
As we operate secure record management facilities, we only allow authorised Secure Storage Services personnel access to our secure storage area.

Document scanning is the process of converting paper documents into digital form, typically via a document scanner or a multi-purpose printer. Document scanning is often also referred to as document imaging or document conversion, offering improved security and an easier way to access documents.
Outsourcing your document scanning is quite simply the only way to handle a large volume of documents efficiently. Bulk scanning can free up a great deal of space within your office and make the documents far easier to access, and we are here to help with any on-site or off-site document scanning requirements you might have.

We currently scan up to A3 size (297mm x 420mm). Documents can be colour and/or black and white.
The two most common formats we use are PDF (portable document format) and TIFF using CCITT Group 4 compression. Depending on your requirements we can store in other formats, please contact us for further information.
We can scan documents with or without a document management system. Files scanned into the document management system are provided with a read-only version of the software. This enables the scanned documents to be searched, viewed, printed etc. Files scanned without the document management system are usually scanned into the PDF format; these documents can be viewed, printed and e-mailed using the free Acrobat Reader from Adobe. This is readily available from the Adobe webpage.
No special training is required to view, print, or e-mail the documents when using intuitive software such as Acrobat Reader, most computer users are able to get results in minutes. The document management software we offer is easy to use and includes a comprehensive help interface.
Not directly onto the CD/DVD as it is a read-only medium. This keeps others from deleting or changing your original and it is required to maintain the integrity of the original scan. You can annotate or otherwise edit the documents once you copy them to your hard drive or other read/write media.
Because the CD/DVD is a read-only medium, your old records would be merged with your new records onto a new CD/DVD.
No, the utilisation of industrial grade shredders ensures that this is not required.
Once conversion of the documents is complete we can offer a variety of options:

  • As a complete document management company we can store your scanned data in one of our data management centres.

  • We also offer a confidential document shredding service for certified destruction of your documents.

  • If required we can safely return the original paper documents to you.
Yes. We recycle 100% of the paper we shred. After confidential destruction the shredded waste is sent to a paper mill where it is bleached, pulped and processed back into paper-based products.
The Data Protection Act of 1998 applies to all companies that store and/or maintain information on customers and staff.
Yes. Once your documents have been destroyed, we will issue a Certificate of Destruction for your records. This will enable you to prove that you are complying with GDPR regulations and eliminating risk of identity theft.

No charges apply for the provision of secure waste cabinets. They remain the property of Secure Storage Services but are free for use.
